These Terms and Conditions (“Terms”) govern your access to and use of our website, and the medical billing, coding, and revenue cycle management (RCM) services we provide to healthcare providers, medical practices, and healthcare organizations across the United States. By visiting our website, submitting a form, requesting a consultation, or engaging us for services, you agree to be bound by these Terms. If you do not agree, please do not use our website or services.

Where you have a separate Service Agreement, engagement letter, or Business Associate Agreement (BAA) with us, that document governs in the event of a conflict with these Terms, particularly regarding fees, service scope, and the handling of Protected Health Information (PHI).

About Our Services

ZEE Claims Solution provides professional medical billing and revenue cycle management services designed to help healthcare providers reduce claim denials, accelerate reimbursements, and simplify the business side of patient care. Our core service areas include:

Specific deliverables, timelines, and fees for your practice are set out in your individual Service Agreement, quote, or engagement letter, which forms part of your contract with us alongside these Terms.

HIPAA Compliance and Data Privacy, Terms and Conditions

ZEE Claims Solution understands that the information we handle on behalf of our clients, including Protected Health Information (PHI), is sensitive. Where we process PHI on behalf of a covered entity client, we do so as a Business Associate under the Health Insurance Portability and Accountability Act (HIPAA) and the HITECH Act, and our handling of that PHI is governed by a signed Business Associate Agreement (BAA), which takes precedence over these Terms with respect to PHI.

In general, and as more fully described in our Privacy Policy:

  • We access, use, and disclose PHI only as necessary to perform billing, coding, claims submission, and related RCM functions.
  • We maintain administrative, physical, and technical safeguards consistent with the HIPAA Security Rule, including access controls, encryption, audit logging, and role-based permissions.
  • Our staff receive HIPAA privacy and security training and are bound by confidentiality obligations.
  • We do not use PHI for marketing and do not sell PHI under any circumstances.
  • Any breach involving unsecured PHI is handled in accordance with the HIPAA Breach Notification Rule and the applicable BAA.

Clients remain responsible for their own HIPAA compliance obligations as covered entities, including obtaining any patient consents required for us to act on their behalf.

Client Responsibilities

To deliver accurate, compliant billing services, we rely on our clients to:

  • Provide complete, accurate, and timely documentation, superbills, coding information, and supporting records for each claim
  • Maintain their own HIPAA compliance obligations and provide any patient authorizations required for us to process their data
  • Promptly notify us of changes to practice information, payer contracts, NPI numbers, or tax ID details that affect billing
  • Review claims, reports, and statements we provide, and notify us promptly of any discrepancies
  • Respond in a timely manner to requests for information needed for credentialing, payer correspondence, or claim follow-up
  • Use our website and any client portals or reporting tools only for lawful, authorized business purposes

Delays or errors caused by inaccurate, incomplete, or late information from a client may affect claim outcomes, and ZEE Claims Solution is not responsible for denials or delays arising from such information.

Intellectual Property Rights

All content on this website, including text, graphics, logos, service descriptions, reports, templates, and proprietary billing methodologies, is the property of ZEE Claims Solution or its licensors and is protected by applicable copyright, trademark, and intellectual property laws. You may view and use this content for your own reference in evaluating or engaging our services, but you may not copy, reproduce, distribute, or create derivative works from our website content or proprietary materials without our prior written consent.

For clarity, this section does not apply to your own practice data, patient records, claims data, or PHI, which remain your property at all times. We access and process that data solely to perform the services you engage us for.

Disclaimer of Warranties

Our website and services are provided on an “as is” and “as available” basis. While we apply industry-standard expertise and diligence to every account, we cannot guarantee specific reimbursement amounts, claim acceptance rates, approval timelines, or revenue outcomes, since these depend in part on insurance payers, plan terms, and the accuracy of information provided to us — all of which are outside our control. We do not warrant that our website will be uninterrupted, error-free, or free of viruses or other harmful components.

Limitation of Liability and Indemnification

To the fullest extent permitted by law, ZEE Claims Solution’s total liability arising out of or related to these Terms or our services is limited to the fees paid by the client for the specific service giving rise to the claim during the three (3) months preceding the event. We are not liable for indirect, incidental, special, or consequential damages, including lost revenue or lost profits, even if advised of the possibility of such damages. We are not responsible for claim denials, payment delays, or coverage decisions made by insurance payers, or for consequences arising from inaccurate or incomplete information supplied by a client.

You agree to indemnify and hold ZEE Claims Solution harmless from any claims, damages, or expenses arising from information you provide to us, your breach of these Terms, or your own violation of applicable healthcare regulations that is not attributable to our actions.

Service Agreements and Payments

Specific fees, billing percentages, or flat rates for your practice are set out in your individual Service Agreement or engagement letter, which supplements these Terms. Unless your agreement states otherwise, invoices are due upon receipt, and overdue balances may accrue interest or result in a pause of services until the account is brought current. We may update our standard pricing from time to time; any change applies only to services rendered after the change and does not retroactively alter fees already agreed for existing engagements.

Term and Termination

These Terms apply for as long as you use our website or remain engaged with us under a Service Agreement. Either party may terminate a Service Agreement in accordance with its notice provisions, typically thirty (30) days’ written notice unless otherwise agreed. Upon termination, any outstanding fees remain due, and we will work with you to transition your billing records and data in a reasonable and secure manner. Provisions relating to confidentiality, PHI handling, intellectual property, limitation of liability, and indemnification survive termination.

Where a change would materially affect an active Service Agreement, we will communicate it to you directly in accordance with that agreement.

Governing Law and Dispute Resolution

These Terms are governed by the laws of the State of Texas and applicable United States federal law, including HIPAA, without regard to conflict-of-law principles. Before pursuing formal action, we encourage clients to contact us directly to resolve any dispute informally. Any dispute that cannot be resolved informally is subject to the exclusive jurisdiction of the state or federal courts located in Travis County, Texas, unless your Service Agreement specifies a different dispute resolution process, such as binding arbitration.

General Provisions

If any provision of these Terms and Conditions is found unenforceable, the remaining provisions continue in full force and effect. These Terms, together with any applicable Service Agreement and Business Associate Agreement, constitute the entire agreement between you and ZEE Claims Solution regarding your use of our website and services, and supersede any prior understandings on the same subject. Our failure to enforce any provision of these Terms is not a waiver of our right to do so later.
